Objective:

Implement a seamless phone system migration for a client with 19 physical locations across the greater Sacramento area and various Northern CA towns, replacing their aged, problematic system with a user-friendly, reliable one, including:

  • Facilitation of phone number porting of 117 numbers from 4 different carriers across 7 accounts, including fax and toll-free components.
  • Free or low-cost onsite phone installation for all locations, with in-person training at Administration building.
  • Onboarding sessions for client’s team, preparing them to use their new phone system.

Benefit to Client:

  • Provided a dedicated project manager to drive deployment from start to finish, remaining in constant communication with our partner and client with regular progress updates to both parties.
  • Devoted several hours early in the lifespan of the project to aid the client in obtaining, streamlining, and organizing porting information from existing carriers.
  • Established direct contact with the individual 19 locations for help with any facet of deployment, and resources & training on the new phone system.
  • Worked with each location individually to obtain call flow details, vet onsite network, and field questions to minimize workload of the client’s main point of contact.
  • Worked directly with the client’s IT team, advising them on phone operation and network setup.
  • Maintained meticulously detailed records, tasks and information surrounding the project.
  • Expert phone installer deployed to 12 client locations over 2 days, at no cost to the customer.
  • Fielded and tracked multiple support items on behalf of the client, allowing them to focus on their day-to-day workload.
  • Provided immediate solutions to alleviate carrier issues impacting the customer on their port day, ensuring lost calls were minimized.
  • Implemented temporary forwarding and virtual user extensions to accommodate different port dates, eliminating any felt impact to the client. In-house extension hosting was utilized at no charge to the client.

Outcome:

SystemGo IT successfully migrated the client to a new, single-carrier phone system smoothly and efficiently, providing them with comprehensive resources and training to manage their newly consolidated setup. Remote onsite installation was successfully performed in a fraction of the forecast timespan, greatly reducing impact to the customer’s day-to-day operations, and at zero cost to the client. All lines ported successfully to desired endpoints, including 60+ individual user lines, including an in-house hosting solution for the client’s established toll-free line. Internal and external communication greatly improved for the entire company, resulting in saved time and increased potential for productivity and profitability. The client’s whole staff loves the new phones, and is extremely happy with SystemGo IT’s dedication, communication and hard work!
